3.6. Reports

In order to create a report, it is necessary to completely and carefully fill in all available directories, documents, magazines.

3.6.1. Working with reports

To print reports, it is necessary that all directories and journals be filled out, since data in the reports is entered from all directories and journals available in the program.

3.6.1.1. Accounting for cases of illness and injury in children

3.7. Options

Before starting work, set up the program for your institution. To do this, run Service/ Parameters.

Select the period of the academic year (reporting year), the type of working week.

Depending on the selected period of the academic year, all reports and journals are generated. Depending on the selected working week, the "Weekends and holidays" directory is filled in.

4. Working with the database

All information that the program "Kindergarten: Health" works with is stored in a database file of the Microsoft Access 2000/XP/2003/2007 format (file extension *.mdb).

One database file stores the contents of all directories and documents.

Note: The program stores some of its settings in the Windows registry.

To perform standard operations with a database file: create, open, save in another file, there are standard commands in the menu File and standard buttons in the toolbar Standard.

4.1. Create a new database

If you have just registered the program and there is no file douz. mdb, then it is created automatically, and only the directories "Vaccinations", "Types of diseases", "Medicines / Disinfectants" are filled in it. The rest of the directories will be empty.

To create a new (clean) database run:

File/ Create database or ( Create database), then you need to specify the name of the file to be created and click the button Save.

Enter the name of the database file.

To the question "Fill in the directories with demo data?" answer " Not" if you want to create a clean database, answer " Yes”, if you want to get a database filled with demo data to familiarize yourself with the program. Regardless of your answer, the directories “Vaccinations”, “Types of diseases”, “Medicines / Disinfectants” will be filled in the database, since you will need the data from these directories in any case, the database file will be created.

4.2. Open database

File/ Open database or ( Open database) then you need to select a file (or enter its name) and press the button Open.

Note: The program remembers the file with which it works.
This command does not need to be run every time you open the program! It is executed only after installing the program on another computer, or for subsequent work with another database.

4.3. Save database in another file

After that, the program works with newfile, which is a complete copy of the old one. The old file is also stored on disk.

Attention: while working with the program saved automatically and No the need for periodic storage of information.

Note: if there is a need for backup, then run the command (see. 4.5. Archiving and Information Security Recommendations).

4.4. Compress and restore the database

For efficient and fast operation of the program, it is necessary to constantly monitor the database file. This feature is dictated by the Microsoft Access file format. Formed queries to the database, mass addition or deletion of records increase the size of the file, due to which the program gradually starts to work more slowly, and, in addition, serious malfunctions and loss of information can occur (and all at once, because all information stored in one file).

This issue has been largely resolved. Every day, when you first start the program, the database is automatically restored and compressed. To make this operation as safe as possible, first a copy of the database file is formed, the file name of which is *_backup.mdb, then this copy is compressed into the file *_compact.mdb and overwritten to the place of the original file.

Compressing and restoring the database allows you to reduce the size of the database, and thus increase the speed of the program, its stability against failures.

Compressing and restoring the current database file can be done manually with: Service/ Shrink database.

It's no secret that computer technology is not always reliable. The hard disk may fail, and then all the information accumulated over a long period will be lost, and errors may occur on the disk that are not corrected in time. Then, since the placement of information on the disk will be incorrect, there may be a loss of part of the database file or its damage, and irretrievable.

To prevent this from happening, you should periodically back up the database file. To create a backup copy of the current database file, the program provides the command:
Service/ Archive database. When it is executed, the current database file is first compressed and restored, and then it is archived to the Archive subfolder of the program folder.

For more reliable protection, it is recommended to back up the database file to another hard drive, floppy disk or flash drive. This will double the reliability. Remember that if the database file is lost, not only will further work with the accumulated data become impossible, but the submission of reports and the preparation of important documents may also be delayed.

4.6. Copying the database to a removable disk (flash)

Flash.

For data backup, as well as for employees who work with the program on different computers, for example, at work and at home, there is a convenient opportunity to copy the database to a removable drive, that is flush, and by switching to another computer, restore information from a flash drive and continue working.

To write the database to flash, run: File/ Copy to removable disk / Yes.

Note 1: before recording, the database is compressed, then copied from the hard disk to flash, the file name is kept the same. If a file with the same name has already been written to the flash drive, it will be replaced (without warning).

Note 2: along with the database file, the douz.txt file is written to the flash, inside which the name of the database file is indicated. This will allow you to automate the recovery of the database in the future.

Note 3: when executing this command, the program continues to work with the previous database file, and when executing the command File/ Save database as the program works with the created copy.

Note 4: Windows 95 and 98 require special drivers that are included with the flash, while more modern Windows Me, 2000, XP, Vista, 7 work with any flash automatically.

4.7. Restoring a database from a removable disk (flash)

If the database was previously written to a removable disk (see ), then you can conveniently restore information by copying from a removable disk (flash) to a hard disk.

To restore, run: File/ Recover from removable disk/ Yes.

If several removable disks are connected to your computer, a window will appear for selecting the required disk. Select a drive and click Ok.

If the database was copied to flash not using the special copy mode (see 4.6. Copying the database to a removable disk (flash)), but manually using Conductor or any file manager, or the douz.txt file has been deleted on a removable disk, a dialog box will appear to select the database file. Select a file and click the button
Open.

Note 1: when executing this command, the program first copies the file, and then works with its copy. When executing the command File/ Open the program works with the selected database file without copying it.

Note 2: if there is already a file on the hard drive with the same name as the one being restored, it will be renamed to a file
"Name(1).mdb". Thus, with frequent use of this mode, files with increasing numbers in brackets will accumulate on the hard disk. But if you have a modern computer, the hard disk space consumption will not be significant, and this operation will practically replace the database backup.

Note 3: the file to be restored is copied to the same folder and to the same drive as the previous base file with which the program was working. When restoring a file from a removable drive to a removable drive, a warning will be displayed and it is recommended to answer "Yes" in order to copy the file to the hard drive in the folder where the program is located.

We continue to publish a series of articles on the execution of primary accounting documents approved by Order of the Ministry of Finance of Russia dated December 15, 2010 No. 173n (hereinafter - Order No. 173n) and to be used by state authorities (state bodies), local governments, management bodies of state extra-budgetary funds, state academies of sciences, state (municipal) institutions. In this article, we will consider the design features of the Report Card for Children's Attendance (f. 0504608).
Recommendations for filling out the Attendance Record for Children (f. 0504608)

f. 0504608) serves to record the attendance of children in institutions, including for the purpose of subsequent calculation of the amounts due to be paid by parents for the maintenance of children in these institutions. If children visit the institution free of charge, then the columns "Type of calculation", "Account number", "Payment at the rate", "Days of visits subject to payment" are not filled.
The attendance sheet for children (f. 0504608) is filled out for each group separately. The days the child visits the institution in the Report Card are not marked, and the days of non-attendance are marked in the corresponding column with the letter "H", weekends - with the letter "B". In addition, the line "Total missing children" is filled in daily.
At the end of the month, the results are summed up, how many days were missed by the children, how many of them are counted (missed for a good reason), how many days are payable (the number of days of attendance plus the number of days missed for unjustified reasons).
For calculating or not charging a fee for a day missed by a child, it is of fundamental importance that the column "Reasons for non-attendance (reason)" is filled in correctly, as well as the presence in the institution of an administrative document (order of the head), which indicates how the fee is charged in case of non-attendance. In kindergartens, music schools and other institutions where fees are charged for a period, the order of the head, as a rule, establishes a list of good reasons for non-attendance, which are the basis for reducing the fee. These usually include:

The order of the head should also establish what documents confirm the presence of valid reasons for missing classes.
In institutions where a fee is set for one visit, most often it is calculated and collected only for those days on which the child attended classes. In this case, it is not necessary to fill in the column "Reasons for non-attendance (reasons)".
If the child visits the institution for an incomplete month (not from the beginning or not to the end), then it is advisable to put dashes in the corresponding cells, since these days are neither days off, nor days of absence, nor days of visiting.
In the column "Fee at the rate" the daily or monthly rate of the fee for visiting the institution by the child is usually indicated. Note that some children may have benefits established by the institution. Therefore, their rate per visit or per period may be lower. The procedure for granting benefits must be approved by the order of the head of the institution. It is advisable to approve such a procedure in which the submitted documents confirming the right to a benefit are checked once by the head or chief accountant of the institution. Based on the results of such a check, an order is issued to provide benefits to a particular child or a new version of the list of "beneficiaries" is approved, a copy of which is transferred to the person leading the Report Card.
In the "Account number" column, the personal account number is usually entered if it is assigned by the institution to pupils.
The completed Attendance Record for Children (f. 0504608) is signed by the responsible person appointed by the head of the institution (educator) and the head of the institution.
